Mastering Lightroom Catalogs: Why One is Better Than Many

Managing your Lightroom catalog can feel overwhelming. Should you keep everything in one catalog or split your images across several? This is one of the most common questions I get from photographers, and from my experience, the answer is clear: a single catalog is almost always the better choice.

Why a Single Catalog Works Best

1. Performance Isn’t an Issue

Adobe claims that Lightroom can handle over 1 million images without any significant performance issues. In reality, most modern computers can comfortably handle up to 500,000 images. For most photographers, that’s more than enough headroom, so performance isn’t a compelling reason to split catalogs.

2. Streamlined Workflow

Using one catalog means you don’t have to constantly switch between catalogs to access your images. Upgrading and backing up multiple catalogs is also time-consuming and prone to mistakes. A single catalog simplifies the process—you only have to manage one file.

3. Universal Keywords and Collections

Keywords and collections are specific to each catalog. If you use multiple catalogs, you’ll have to recreate them each time, which leads to inconsistencies. A single catalog allows you to use consistent keywords and collections across your entire photo library, making it easier to search and organize your work.

4. Powerful Search and Organization

Lightroom’s search and filtering tools are incredibly powerful—but only if you can access all of your images in one place. With a single catalog, you can create smart collections, search metadata, and organize all of your images without switching between catalogs.

When Multiple Catalogs Make Sense

There are a few specific scenarios where multiple catalogs can be useful. I personally use separate catalogs for teaching and demo purposes. My main photography catalog holds all of my personal and professional work, but I maintain other catalogs for:

• Student images
• Academy session
• Testing and experimentation

Unless you have similar teaching or demo needs, a single catalog will almost always make your workflow faster, more efficient, and easier to maintain.

From a workflow and organizational standpoint, a single catalog leverages all of Lightroom’s power to provide one central place to import, organize, edit, and share your images. For the vast majority of photographers, one catalog is the key to a more efficient and stress-free experience in Lightroom.
